Create a lease, step by step
Everything a letting needs, in one go. Nothing is saved until the last page.
A few words first
- Managing Organisation
- Your own company. The agency letting and managing these properties.
- Party
- Anyone you deal with: a person, a company or an association.
- Owner
- The party the property belongs to. You collect rent on their behalf.
- Tenant
- The party who occupies the unit and pays the rent.
- Agent
- A party who introduced the tenant and is paid a commission. Optional.
- Property
- A building or a plot. It holds one or more units.
- Unit
- What is actually let: a flat, a shop, an office.
- Lease
- The agreement between one tenant and one unit, with its rent and its dates.

Property and tenant
The property, its owners and the tenant. Start typing to find one, or create it here as you go — the agent is asked for later, beside their commission.
Only vacant units are listed. A unit can carry one active lease at a time.
Who owns it
Shares must add up to 100%. This is asked only when the property does not have its owners recorded yet.
Lease period
The day the tenancy begins. It stays the anniversary for the whole letting: a lease starting on the 31st is billed on the 31st of every month that has one, and on the last day of the months that do not.
An end date is not required. Without one, the lease runs until somebody terminates it.
When notice must be given. Leave empty if there is no agreed date.
Rent terms
One month of rent, whatever the payment frequency. A quarterly lease at 1,000 a month is invoiced 3,000 a quarter.
How often the rent is invoiced. It does not change the monthly figure above.
Leave empty to use the start date’s day.
VAT is charged on your fee and billed to the owner, never on the rent.

Entering a deposit receives it into this lease’s Security Deposit account. Say when it changed hands and how; a deposit taken before the tenancy begins is normal and its date may precede the start date.
Advance payment
Advance payment is rent the tenant hands over before it falls due. Part of it can be held back as a rent reserve, which ordinary rent cannot touch.
The part of the advance held back against the end of the letting. Ordinary rent settlement cannot reach it.
What is left of the advance once the reserve is taken out. This is what ordinary rent is settled from.
Rent increment
When the new rent takes effect. It cannot fall before the lease starts.
Fees and commission
Paid once, out of the owner’s money.
Anything about this letting worth writing down. It appears on the lease record, not on the tenant’s documents.
Check and create
Creating the lease also creates everything above it. A draft can be activated later from the Leases page.
